Planning catering for a celebration
Food is easier to plan once you know the guest numbers, event length and venue facilities. The same menu can work very differently at a seated meal, a buffet or alongside children’s activities.
Match the menu to the gathering
Decide whether guests will sit together or move freely between activities. Consider the age range and collect dietary requirements beforehand. Send these separately to the caterer and ask for confirmation of the ingredients in proposed dishes. At a children’s celebration, position the food break so it does not interrupt a key activity. Ask about portion sizes, the number of servings and how the table will be replenished during the event.
Include the work around the food
Discuss crockery, cutlery, presentation, delivery, staffing and clearing up as well as the dishes themselves. Establish what the venue supplies and what the catering team brings. Agree unloading time and access to preparation space before guests arrive. Ask how changes to guest numbers are handled. Compare the complete service rather than menu names alone: similarly described food packages may involve quite different amounts of setup, staffing and practical support.
