Planning transport for your guests
Event transport starts with the route and the people. Decide who needs to travel, where from and when they must arrive before comparing the available arrangements.
Map the actual journeys
List departure points, intermediate stops and the venue address. Allow time for boarding, greetings at the entrance and any change of location during the event. Confirm passenger numbers, luggage and particular boarding needs. If children are travelling, discuss the necessary arrangements with the transport provider in advance. Give a group one clear meeting point and a named contact instead of trying to find every person separately. Send guests a short message with the meeting place and time.
Agree on waiting and the return
Ask whether waiting between journeys is included and how schedule changes should be communicated. Check vehicle access to the venue and somewhere to stop or turn. Plan the return as carefully as the arrival, since guests may leave at different times. Name the person who contacts the driver after the programme. Share the route with both the organiser and group contact, so the journey does not depend on a single message buried on one phone.
